Creating an Order

A guide on how to create and manage orders in Accelerate, including communication with dealers and generating order documents.

Here's a step-by-step guide on how to create an order in Accelerate, including details on filling out the order form, communicating with dealers, and generating order documents.


How to Create an Order

Note: If the dealer is funding the transaction, make sure to toggle on 'Dealer Funded'.

To start, open your quote and click the ‘Order’ button:

You'll then find yourself with a similar screen as below:

The customer's address and postcode are automatically inputted (Provided you have previously input their address to the relationship).

Note: If you are not ready to formally order the vehicle, but need to progress to the Order screen, leave the Dealer field blank and click 'Order'. Once you are ready to order the vehicle, add the Dealer within the field on the Order screen and click 'Save'. Clicking 'Save' will then place the order with the dealership.

Info: If you have selected a specific Dealer Discount when quoting on the vehicle you will only be able to select that dealership when clicking on the Dealer button. Once the Dealer has been selected, clicking the Order button will formally place the order with that dealership.

Once you are done, click the 'Save' button

You can then see all the details on the order screen. From here you can edit the order as it progresses:

Parameters

Description

Administrator

allows you select which member of staff will be the administrator for this order.

Dealer

allows you to choose the dealer from our database of dealers.

Status

refers to the order status of the vehicle.

Order Date

automatically generated when you select the 'Order' button on the previous screen. You can manually change this however.

Int Target Delivery

is for you to keep track of your internal target delivery date

Target Delivery

is completely free type, allowing to put whatever you want, be a month name or in a couple of weeks.

Register To

is where you can choose who the vehicle will be registered to out of the funder, the customer or your own company.

Reg. No

allows you to enter the registration number if you already know it.

Contact Notes

is where you can enter information on the contact that will be handling the delivery of this vehicle.

Funder Order Number

is where you enter the order number supplied by the funder (If applicable

Exterior Finish

allows you to choose the CAP coded colour schemes

Discount/ VRB 2

is where you can input a second VRB or discount code that will be used.

K4K Reg. No

is the registration number of the vehicle that they are handing back to your company.

Key 4 Key

means that they are replacing an existing car with your company.

VIN

is where you can input the Vehicle Identification Number of the vehicle if you already know it.

Delivery Method

let's you select whether the vehicle is to be delivered either on a transporter, with a driver or a customer collection.

Delivery Property and 'Delivery postcode

used to input the address that the customer wants the vehicle to be delivered to.

Confirmed Delivery

is used if you already know the confirmed delivery date of the vehicle

Dealer Contact

is used to select which contact at your dealer that you wish to send the dealer order form to etc.

Contact Mobile

refers to the customer contact that will be dealing with the delivery of the vehicle.

Contact Tel.

to the customer contact that will be dealing with the delivery of the vehicle.

Contact name

to the customer contact that will be dealing with the delivery of the vehicle.

Create Separate Orders

you to manage of these orders independently. For example, adding individual registration numbers.

Quantity

means you can select how many of this order you wish to create

The Discount/VRB 1

is where you can input your VRB or discount code that will be used.

Funder Fleet No

will automatically be filled in if Accelerate has the correct fleet code saved for the chosen funder. This can be manually overridden.


Communicating with Dealers using QV Vehicle Procurement

When ordering a vehicle with a Dealer using Vehicle Procurement, there is the

functionality to have two-way communication via the Notes object on Order page.

Head down to the Notes section and select 'Add Note',

To add a note that a Dealer can view, select the 'Dealer Order' tickbox

Note: If you do not select this box then the note will only be viewable to Accelerate users in your organisation.

Dealers using QV Vehicle Procurement will be able to update the Build Tracking number, VIN and Reg. No. fields within their procurement portal, which will then push the updates through to the Order screen in Accelerate.

Users will receive notification of any updates made by the dealers.


Creating Order Documents

If your system has been set up so that Accelerate can produce your customer and dealer order forms, press the 'Create Document' button:

Your order forms will then be ready to send to your customers at the bottom of the page with the other generated documents.

Make sure you press 'Create Document' every time you edit your quote in order to update the document.
