Consolidated Invoicing is crucial for managing invoices and billing more efficiently, especially for businesses dealing with leasing and fleet management.
Consolidated Invoicing simplifies invoicing by generating a single invoice for multiple purchases or contracts made by a specific customer over a defined period. For leasing and fleet management, this feature is crucial in efficiently managing invoicing and gaining insights into customer contract portfolios on a monthly basis.
Before continuing this document, we assume that you are already using the standard invoicing feature within Accelerate.
Enabling Consolidated Invoicing
Consolidated Invoicing is enabled within the Accelerate platform through coordination with the QV Systems Support team. Contact the support team via LiveChat to initiate the setup process for enabling the Consolidated Invoicing feature.
Organisation Settings
Configure your organisation settings within Accelerate for effective use of the Consolidated Invoicing feature:
Set a global “Invoice Day” between 1 and 28 in the “Invoice Day” field.
Set an “Invoice Offset” this will usually match your payment period eg 30 days
Brand Configuration
Customise brand-specific settings for Consolidated Invoicing within Accelerate:
Head to 'Settings', navigate go 'Brand' and select the brand you wish to edit .
Consolidated invoicing generates it’s own document, you have a few fields below that will populate different sections within the invoice document but you will not be able to design your own document.
“Document Address” will be your invoicing address
“Invoice Payment Instructions” will include your invoice account information such as account number and sort code.
If you are collecting payment via Direct Debit you will need to fill out your “DD Payment Instructions”
Customise the document footer and logo for brand identity.
Select "Email Consolidated Invoicing" for sending invoices via email, and designate the sending email address.
Performing Invoice Runs
Invoice runs are automatic and on the date specified within the Organisation Settings.
Access the "Invoice Runs" section within your organisation settings to see previously run invoices
The invoice will be available to print and download from the invoice record (the same way you downloaded standard invoices)
Conduct test runs for validation purposes.
Head to 'Settings', navigate to 'Organisation Settings' and click on 'Invoice Runs'
