Custom Statuses

A guide to creating and managing custom statuses in Accelerate, including setting status paths to control workflow progression.

Statuses

Statuses allows you to add custom statuses / create statuses and amend status paths in your Accelerate system. This makes it easier to keep track of the progress of each opportunity. Having opportunity statuses allows you to optimise the use of Actions.

Following the creation of a status, you will need to set the status paths, please see our section on Status Paths at the bottom of this article.


Opportunity Status

Accelerate comes with 7 Opportunity Statuses as standard, these are: New, Contacted, Pitched, Demoed, Negotiating, Closed Lost and Closed Won.

Once you start customising your statuses you will replace all the standard Accelerate ones.

To get started,

Navigate to your 'Settings' tab and 'Workflow Settings' and scroll to the 'Opportunity Statuses' section.

To add a new status click the 'Add Opportunity Status' button.

Once in this screen you can edit your status appropriately. The 'Quotevine Status' dropdown allows you to choose which status you wish to replace.

Expand to view the field options and their explanations:

Ordinal: is what you use to assign the order in which the statuses follow. 0 being the beginning higher numbers being the end. We would recommend setting these values as multiples of 10 - just incase you want to add a status later on that will fit between the ones you originally made!

Quotevine Status: The drop down is to assign your custom status to one of the generic Accelerate statuses. This helps everyone involved to understand the new statuses (including the Accelerate system).

Certainty Factor: is where you assign the percentage of certainty to this status. i.e how likely the deal is to progress from this point. This is essential if you want to use status-weighted pipeline reporting. If you don't want to use that, don't worry about filling this field in.

Lastly, you can set the background and foreground colours you want records of this status to be displayed in. You can fill in any colour using hexadecimal RGB notation:

Web colors or just click on one of our suggested quick colours.

Note: The colours you choose for your statuses will be used for all users in your organisation: this is so that each screen is consistent - red means the same thing regardless of who's logged in.

The description box is what will appear as your status, so what you put in here is exactly what you'll see as you go through your process.

Note: Once this has been set, it cannot be changed, so double check before you hit Save!

Once you have filled in the necessary information, press the save button.


Proposal Status

In order to add a proposal status, you just need to go through the same process as before.

Navigate to 'Settings' on the menu tab and click on 'Workflow Settings'

scroll to the ‘Proposal Statuses' section and click on 'Add Proposal Status’

Fill in the details and simply click on ‘Save’. For example for Accelerate status 10: New you might write 'Just a Quote'.

You can select whether to display it in the Quote list or Proposal list by toggling the option on or off.

Info: Your proposal status indicates what level the proposal is at. Accelerate will provide you with a dropdown list of statuses that you can choose from then you add the description for it.


Order Status

Order status is a similar feature that is used to set the status of your orders.

Navigate to 'Settings', click on 'Workflow Settings'

Scroll to 'Order Statuses' and click on 'Add Order Status'

Fill in the details and click 'Save'.


Relationship Status

Relationship status is a similar feature that is used to set the status of your Relationships.

Navigate to 'Settings', click on 'Workflow Settings'

Scroll to 'Relationship Statuses' and click on 'Add Relationship Status'

Fill in the details and 'Save'


Status Paths

Once you have created your status you will need to choose which statuses can be moved to your new one. This is done by selecting the statuses in 'Status Paths'.

Go to Settings > Workflow Settings >

Choose which status you would like to edit. In this instance I'm editing a proposal status. Click the Edit pencil.

Scroll down to Status Paths and tick each box you would like this status to be reached from.

For example, I would like the Cancelled status to be accessible from Conditionally Accepted.

Once you have selected the accessible statuses, click 'Save'.

You will need to choose the paths for each and every status to let the system know which statuses can progress to each!
