Managing Invoices: A Guide to Adding, Tracking, and Crediting Invoices

Invoice List

Note: The invoice list will only display unpaid invoices by default. However, you can change list to display: 'Paid Only', 'Void Only' or to display 'All Invoices'. To change the view, select the dropdown at the top:

If you keep your invoice list to show only the unpaid invoices, you can use it to chase up unpaid invoices. When the invoice due date has passed, the date will appear red in your invoice list so you can easily see who is overdue on their payments.

You can also filter by the invoice type, choosing between a purchase and sales invoice.

Info: To edit or update the progress of an invoice, click on the pencil next to the corresponding invoice and you'll see a screen similar to the one below:

Note: Once the invoice has been paid, you will no longer be able to make any changes and save.

Info: You can void an invoice at any point if it is no longer required by clicking on the 'Void' button in the top right-hand corner of the invoice.


Sending Invoices

Note: When an invoice is sent, it will follow this hierarchy to find an email address

The first thing that will be looked at is the Invoice Email on the Contract

The next thing that will be checked is any Contacts belonging to the Relationship and those that are marked as Invoice Recipient

The last thing that is checked is the email address of the Relationship itself

Info: It will fallback to the primary Contact it it hasn’t found anything by stage 3, to ensure your invoices go where you want them to, make sure that the relevant Contacts are updated with the Invoice Recipient checkbox.


Adding a Credit Note

Adding a credit note can only be done once an invoice has been marked as 'Sent'.

After saving as 'Sent', you won't be able to edit the invoice! So make sure everything is correct before you do.

When you've saved the invoice as sent, a yellow button will appear in the top right saying 'Credit Note'.

Click this button to create the credit note and you will be taken to the below screen.

Click 'Save' when you are done.
